Responsibilities:
- Administrative Support:
- Provide comprehensive administrative support, including handling correspondence, managing files, and maintaining office supplies.
- Assist in drafting and proofreading documents, reports, and internal communications.
- Scheduling and Coordination:
- Manage and optimize executive calendars, schedule meetings, and coordinate appointments.
- Arrange and organize travel arrangements and accommodations for team members when necessary.
- Communication Management:
- Serve as a point of contact for internal and external stakeholders, managing incoming calls, emails, and inquiries.
- Facilitate effective communication within the office and coordinate with other departments as needed.
- Office Efficiency:
- Streamline office procedures, implement organizational systems, and ensure resources are efficiently utilized.
- Identify areas for improvement and contribute to the development and implementation of office policies and procedures.
- Technology Utilization:
- Proficiently use office software such as word processing, spreadsheets, and presentation tools.
- Familiarity with project management and scheduling software to enhance organizational efficiency.
- Team Collaboration:
- Foster a collaborative and positive work environment by coordinating team-building activities and events.
- Support department heads in facilitating effective teamwork and communication.
- Problem-Solving:

Requirements:
- Proven experience as an Office Administrator, Administrative Assistant, or similar role.
- Excellent organizational, multitasking, and time-management skills.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office suite and other relevant office software.
- Problem-solving aptitude with a proactive approach to challenges.
- High level of attention to detail and accuracy.
- Bachelor’s degree in Business Administration or a related field is preferred.

Tasks
- Review, evaluate and implement new administrative procedures
- Delegate work to office support staff
- Establish work priorities and ensure procedures are followed and deadlines are met
- Co-ordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance and security services
- Assist in the preparation of operating budget and maintain inventory and budgetary controls
- Assemble data and prepare periodic and special reports, manuals and correspondence
- Oversee and co-ordinate office administrative procedures
